Document Management Software

Document Management Software is a set of integrated software modules or functions that are made available to organisations to help to Manage Documents.

Traditionally documents have been managed by a combination of paper based systems and ad hoc spread sheets and bespoke databases.

Paper has been used to record lists of documents, their owner, status, revision number, expiry date, etc. The actual physical paper documents are typically stored in binders and files and put on shelves, in cabinets, etc.

Over the past 20-30 years computers have been used to create documents via word processors and these electronic documents have been printed and stored in the traditional way.

However, there now exists an electronic copy of this document which is now stored on the creators desktop, laptop, or if set up, on a central file server store system. Records of documents were created using spread sheets and bespoke databases

If most cases there is no formal documentation control procedure to provide the standards for documentation control, issue and storage, and this can lead to numerous problems, including different revisions of the same document being available, various ad hoc storage locations of the same document, no controlled back-up and recovery procedures, etc.

As documentation and documented evidence is one of the key records required when assuring Compliance the above ‘dis-integrated’ system, can often lead to non-compliance.

Document Management Software provides a single set of functions to ensure consistency of the Management of Documentation within an organisation, and a single central secure software database as the central repository for all documents.
